Achim Archive

When you remove an offline member (someone without a Comaney account) from your buddy list or from a project, Comaney does not delete their shared expense history. Instead, it moves that history to a special placeholder called Achim Archive.

Why Achim Archive exists

Shared expenses are part of your financial record. If you and an offline member split a bill, removing them should not silently erase that bill or change your balances. Achim Archive steps in as a stand-in so the numbers stay correct.

Where it appears

In your buddy list: After the first offline member is removed, Achim Archive appears in your buddy list with an "Archive" label. It works like any other offline buddy: balances are tracked against it, and it shows up in the shared expense breakdown.

In a project: After the first offline member is removed from a project, Achim Archive appears in the member list. Project balances and the debt diagram stay accurate.

The first time Achim Archive is created, a short notice pops up on the page to introduce it. You only see this notice once.

What it holds

Achim Archive collects the shared expense records of every offline member you have removed. If you remove multiple offline members over time, their histories are all folded into the same archive.

Deleting archived expenses

You can permanently delete the archived expenses at any time. This is a destructive action and cannot be undone.

For your personal buddy list:

1. Go to My Buddies.
2. Find Achim Archive and click Delete expenses.

For a project (admin only):

1. Go to the project page.
2. Find Achim Archive in the member list and click Delete expenses.

Before anything is deleted, Comaney shows a warning page that tells you exactly what will change:

• How many expenses paid by removed members will be deleted permanently.
• How many of your own expenses had the removed members as participants (those expenses stay; only the split record is removed).
• What balance you will lose or be forgiven.

Confirm on that page to delete, or click Cancel to go back.

Warning

Deleting archived expenses permanently changes your financial history. Balances and debt records will reflect the world as if those members were never there. This cannot be reversed.

Removing Achim Archive

Achim Archive cannot itself be removed while it still holds expenses. Delete all archived expenses first (see above), and then it can be removed like any other offline buddy or project member.
